You are recommended to print out and retain a copy of these Terms and Conditions. The use of the words ‘booking’, ‘application’, ‘registration’ and ‘booking registration’ are all used to refer to your formal contractual agreement to take part in an expedition using services contracted with Tangent Expeditions Ltd. Due to severe weather, sea, fjord, snow and glacier conditions that can be encountered during Greenland expeditions it is absolutely essential that you read and fully understand all aspects of the following Terms and Conditions. By booking on an expedition using the services of Tangent Expeditions Ltd you are acknowledge that you are participating in your chosen expedition voluntarily and at your own risk. It is your responsibility to consider all available information when considering your suitability, or that of your group members (in particular minors) to join such an expedition.
Tangent Expeditions Ltd specializes in holidays and expeditions to remote mountain areas in Greenland, Iceland, Baffin Island, Ellesmere Island and Svalbard, where the complex infrastructures and variety of transportation means of European countries do not exist. We will always do our utmost to keep to the advertised itineraries, schedules and logistics, however it must be recognized and accepted that this is not always possible. We point out that these type of exploratory expeditions do carry a risk that accommodation, schedules, dates, flights and other related services may have to be changed at short notice for reasons beyond our control. Clients must accept that such changes, alterations to the itinerary, and local difficulties may arise.
Your booking and legal contract is with Tangent Expeditions Ltd, registered address; 136 Highgate, Kendal, Cumbria, LA9 4HW, UK. For the purpose of the following terms and conditions Tangent Expeditions Ltd may be referred to as Tangent or Tangent Expeditions, but this reference is to the same company.
USE OF TANGENT EXPEDITIONS WEBSITES AND CLIENT EMAIL ADDRESSES
All enquirers who request information from Tangent Expeditions Ltd, in doing so, give permission for Tangent Expeditions Ltd to contact the person(s) concerned by whatever means we choose. Where appropriate contact details have been provided, this may include by email, newsletter, telephone, fax or in writing. We do not pass on or sell such email addresses to any other individual or organisation for any form of marketing purposes. Enquirers can unsubscribe from receiving any form of information from us by contacting us directly by email or by selecting the Unsubscribe button on any of our Newsletters.
AMENDMENT OF WEBSITE INFORMATION
Tangent Expeditions Ltd reserves the right to change, amend, add or cancel any of the details shown on our websites at any time, including our terms and conditions. All booked participants who have made payment of any kind will be notified of any changes to the terms and conditions and given the option to withdraw from their expedition and receive a full refund if changes to the terms and conditions are significant enough to be justifiably no longer acceptable to the participant.
When making your booking you accept and acknowledge that you have read, understood and accepted all the information contained in these booking Terms and Conditions. Do NOT complete and send a booking application or contract unless you have done so and agree to these Terms and Conditions. By completing a booking form or signing a contract with Tangent Expeditions Ltd you are booking an all inclusive travel package that is financially protected through Tangent Expedition’s ATOL licence number 9074 (further details below). Any changes in your personal details provided, in particular but not limited to contact details, emergency contact details and ski or mountain expedition skills and experience must be notified to Tangent Expeditions Ltd no later than two weeks prior to the expedition start date. In the case of any change in medical condition this should be notified immediately.
Your contract with Tangent Expeditions Ltd relates only to costs and services listed in the website description of the tour that you have booked on. For private and independent groups you will receive a separate and more detailed contract. A non-refundable deposit is required per person along with a completed booking form per person for individuals booking on a Tangent guided expedition or as part of a group of friends or colleagues. For groups being booked through a company or organisation the expedition leader and finance officer will be required to jointly sign a contract on behalf of the group and organisation. You will then receive a letter or email of confirmation of your booking and an invoice. Please note that Tangent tours and contracts do not include the first flight leg from the UK to Iceland, and that your contract will normally begin when you arrive at your in-transit accommodation and conclude when you leave this accommodation at the end of your tour. Tangent Expeditions Ltd is not responsible for additional required flights, accommodation or transits required as a result of delays beyond the control of Tangent. During such delays, in country accommodation and services can usually be arranged locally, either with local suppliers or provided directly by Tangent Expeditions Ltd. These costs, however, are not included in the tour price and will be charged at additional cost, as advised at the time, either payable locally or through invoicing upon your return to the UK.
Tangent Expeditions Ltd’s liabilities are limited to the overall organization and logistics arrangements for the expedition, as well as overall expedition leadership services where applicable. Tangent expedition leaders are therefore fully insured for professional leadership and tour guiding which includes liability for breach of our duty of care or negligence. All Tangent expeditions take clients to remote and often dangerous places where the risk of unexpected accidents can be high. Every effort is made to ensure the safety and well being of all participants, but it must be understood and accepted that Tangent Expeditions Ltd does not accept responsibility for individual client’s own accidents, rescue, death, injury or sickness, however caused and of whatsoever nature. Tangent leaders are extremely knowledgeable and experienced in the environments in which they are working, but clients must accept that there are certain inherent objective hazards, risks and dangers involved in skiing, climbing, mountaineering, trekking, boating, dog sledding and snowmobiling expeditions which you expose yourself to at your own risk. Please be aware that you are acknowledging such risks and your personal responsibility for your own safety, well being and suitability to join the expedition by signing your booking form or contract. In respect of disputes and/or other decision making procedures the expedition leader’s decision is final. A copy of our Safety Policy, Risk Assessment and Crisis Management Plan are all available to view on our website.
Due to the nature of our expeditions, their unusually high overheads in relation to profit margin, and their dependence on certain prepayments of flights and services to suppliers, we operate a system of deposit and instalment payments to fund the planning and development of the expedition as it progresses. Unless advised otherwise these payments are split into a deposit at time of booking and two equal balance instalments payable 4 months and 3 months before departure, respectively. One exception is bespoke privately arranged tours for which the full and final payment is due in entirety 4 months before departure. Payments can be made by cheque drawn on a UK or Euro bank account and payable to Tangent Expeditions Limited. Online and electronic payments made from outside the UK will be charged appropriate bank charges as outlined in the Bank Account Details page of our Client Log In pages.
INVOICING AND VAT
Upon receipt of your booking form or contract, an ATOL invoice will be sent to you outlining the services booked with Tangent Expeditions Ltd and including the dates by which your instalment payments are due. We reserve the right to charge interest on overdue accounts/payments at the rate of 0.1% per day of the outstanding amount. Tangent Expeditions Ltd is UK VAT registered under licence number 533 5521 62 but VAT is not applicable and not charged on expeditions to Greenland.
YOUR FINANCIAL PROTECTION
In 1992 The Package Travel, Package Holidays and Package Tours Regulations 1992 were introduced. This required tour operators to provide full financial security for client holiday payments through one of several means including insurance schemes, client trust funds and financial bonding through schemes such as the Air Travel Organizers License (ATOL) and ABTA. Tangent complies fully with these regulations through our ATOL licence. All monies paid by you for the air holiday package shown on your invoice (or flights if appropriate) are ATOL protected by the Civil Aviation Authority. Our ATOL number is ATOL 9074. The ATOL Protection Contribution of £2.50 per person will be added to your invoice and is in addition to any tour price.
CANCELLATION DUE TO INSUFFICIENT NUMBERS
We reserve the right to cancel any expedition for which we do not receive the minimum number of bookings as outlined on our website tour description of that expedition. If Tangent has to cancel any expedition due to insufficient numbers we will offer an alternative more expensive Greenland expedition if available for the same dates and duration. If such a free upgrade option is available then no refund will be given and no cancellation is permitted. Alternatively if a cheaper option is available for the same dates and duration then you will have the choice to accept a partial refund of the difference to join this expedition or a refund in full if you do not wish to join the cheaper alternative itinerary. Clients are responsible for all additional costs relating to such cancellation and Tangent advises all clients to take out suitable insurance to cover this. Insurance payments will always be non-refundable and we will not compensate for any costs incurred in taking out an insurance policy for your chosen tour/expedition.
We reserve the right to refuse or cancel any booking if we feel it necessary. For client's cancelling their booking with us the following cancellation charges apply from the day on which a written notification of cancellation is received by Tangent (email alone not acceptable). Written notification is required because email can often not be received for prolonged periods whilst Directors are overseas on expedition.
125 days or greater prior to departure - Loss of Deposit.
124-92 days prior to departure - 60%.
93 days or less prior to departure - 100%.
We emphasize that under normal conditions these charges should be covered by your insurance policy for reasons of accident, sickness, serious illness or death of close friend or relative, etc. They will not cover charges relating to other personal circumstances, change of mind or cancellation of the expedition due to member's withdrawal. If cancellation or alteration of the expedition, it’s location, it’s aims or it’s logistics, by Tangent, is caused by war or threat of war, strikes, civil strife, natural disaster, weather, technical or political difficulties affecting air or sea freight, air or ground transport, or other events amounting to force majeure, this will limit our liability. All related additional costs for the expedition will be deemed to be the equally shared responsibility of all individual clients booked on the affected tour. Under force majoure circumstances re-imbursement will only be made to clients for unused services for which Tangent is able to recover the costs, such as un-used flying time charter of aircraft, subject to loss of any Tangent paid deposits to subcontractors. In such circumstances it will be the joint responsibility of all such clients and Tangent leaders to decide the future of the expedition and any subsequent additional costs in a democratic manner. Tangent Expeditions will not be liable to give a refund of whatsoever nature for clients opting to withdraw from the newly formed itinerary and/or who subsequently cease their holiday/tour/expedition and return to Iceland or their country of departure.
EXCHANGE RATE AND FLIGHT PRICE INCREASE SURCHARGES
Overseas tour prices are significantly reliant on foreign currencies and flight charter service costs that both often fluctuate. We therefore reserve the right to add surcharges if these rates change significantly. By signing the booking form you are agreeing to a potential tour price increase of up to 10% as a result of this. You may cancel your booking with a full refund and without penalty if surcharges exceed 10% of the tour price. No cancellation is allowed for price rises of up to 10%.
CANCELLATION OF CONTRACTED SERVICES
If for whatever reason Tangent Expeditions Ltd is unable to provide an agreed and contracted service such as but not limited to flights, transport or accommodation then Tangent reserves the right to cancel that service at any time and refund all monies paid in full for that aspect of the contract. The client or group are then free to arrange alternative services and will be responsible for all such costs relating to those services. This may require a change of transport means or location as described in the Itinerary section above.
ADHOC WORK IN ADDITION TO TOUR DESCRIPTION OR CONTRACT
Expeditions or individuals who use the services of Tangent staff for information, advice and consultancy but who do not then contract services with Tangent Expeditions Ltd will be charged accordingly. All such work, including any adhoc work carried out, which is not covered in an alternate contract will be charged at £50 per staff member per hour for labour charges plus any associated costs for additional purchases and services. Office and consultancy work is charged at £50 per hour. This condition also applies to any and all work carried out for private and independent groups in relation to (but not limited to) change of contracted logistics and services, search and rescue, medical evacuation or repatriation of any members of such groups. This applies primarily to private and independent groups, but also to individuals booked on Tangent all inclusive tours who request additional services and local tours whilst overseas or for services beyond what would normally be included as part of the tour description.
SNOWMOBILE TRANSPORT SURCHARGES
Snowmobiles are used to transport groups between airport locations and mountain and base camp locations during many of our expeditions. Our intended itinerary will include dates on which we intend to carry out this transportation of clients and equipment. These dates however are not contractual because weather and other local factors, including mechanical breakdown, can result in delays or the requirement to transport groups and individuals on dates other than those shown. No refunds will be given as a result of a change of transport date. An example would be if bad weather in approaching and Tangent staff choose to collect the group earlier than planned at the end of an expedition, to ensure their safe return to the airport in time for their connecting flight. Snowmobile transport is therefore not day or date specific but is planned on a 'preferred date' basis. For private and independent groups renting snowmobile logistics and guides our terms are such that transport will be agreed to and/or from a location on a preferred day/date, but this can not be guaranteed. The client has no right to change that preferred date, however a request to change such dates will be considered and provided if weather and other contractual commitments allow. Tangent reserves the right to change such transport dates, within reason, if weather and other local factors require it. If private and independent groups request additional transport in addition to that agreed and contracted this will be subject to additional costs advised at the time and subject to prepayment in full, prior to such transport being provided. Clients must have the provision to pay for such services by credit card over the phone prior to such services being provided. All clients travelling by snowmobile are expected to present themselves suitably dressed in warm clothing appropriate for the length and nature of the journey to be undertaken. This should include several warm layers of clothing, two pairs of thick socks, winter boots or ski boots, windproof jacket and trousers, insulated down/synthetic jacket, thick gloves/mitts (with liner gloves), helmet, goggles, balaclava. Tangent Expeditions Ltd reserves the right to use alternative and/or additional snowmobile transport services from local outfitters in addition to, or in replacement of, our own snowmobiles and guides. Under such circumstances it is the expedition leader's responsibility to carry out an on the spot risk assessment of such boats to assess their safety and suitability to carry out the transport.
BOAT TRANSPORT SURCHARGES

The client has no right to change that preferred date, however a request to change such dates will be considered and provided if weather and other contractual commitments allow. Tangent reserves the right to change such transport dates, within reason, if weather and other local factors require it. If private and independent groups request additional transport in addition to that agreed and contracted this will be subject to additional costs advised at the time and subject to prepayment in full, prior to such transport being provided. Clients must have the provision to pay for such services by credit card over the phone prior to such services being provided. Tangent Expeditions Ltd will provide suitable bouyancy aids and/or flotation suits for all passengers. Tangent Expeditions Ltd reserves the right to use alternative and/or additional boat charter services from local outfitters in addition to, or in replacement of, our own boats and guides. Under such circumstances it is the expedition leader's responsibility to carry out an on the spot risk assessment of such boats to assess their safety and suitability to carry out the transport.
CHARTER AIRCRAFT SURCHARGES
A large percentage of the Greenland expedition overheads is accounted for by the private charter of aircraft which are chartered for the purpose of private flights from Iceland to Greenland and between coastal airstrips and the glaciers. The cost of these charters is fixed between Iceland and Greenland airports and is built into the overall cost of the expedition. However, the cost of direct flights between Iceland and the mountains and for local flights in Greenland between the airstrips and the mountain glaciers are calculated on a per hour flying time basis and can vary somewhat depending on weather and flying conditions. The overall cost per person for the expedition includes these flights where applicable but is based on estimated flying times and a flying speed of 225kmh and therefore it can be necessary for surcharges to be added to cover additional flying time. Any additional flying time and subsequent surcharges will be notified as soon as possible upon the group’s arrival back in the UK. All surcharge payments are due within 28 days of individual client’s arrival dates back in the UK. The surcharge will be calculated at GBP £2,500 per hour of extra flying time of the ski plane, shared equally between all Tangent expedition members involved in that specific charter contract. This condition also extends to include additional helicopter charges at £3,000 per hour plus any additional airport charges for the aircraft and full board accommodation charges for the pilots, arising from their extended stay in Greenland. Tangent Expeditions Ltd reserves the right to alter any charter arrangements in the most economical manner possible and to use spare payload capacity on any flights in any manner it chooses.
It is compulsory that clients take out an insurance policy that specifically meets the special requirements and increased limits for insurance for your expedition. For Greenland expeditions the Greenland authorities may require written proof of such insurance, depending on location, and may require the underwriters to complete and sign a specific contractual Insurance Statement along with a personal bank guarantee. Travel insurance is included in this Tangent tour price and contract. All clients must provide a copy of their insurance policy at least 4 weeks prior to the start of your expedition. Clients must check all aspects of their insurance policy themselves, it's full policy wording, and it's terms and conditions, to familiarise yourself with what is and is not included in the cover provided. Tangent Expeditions Ltd can not be held liable for uninsured costs arising from our expeditions due to the unsuitability of insurance cover enacted by the client or which proves insufficient in the event of a claim. In the event of you needing to submit a claim for insurance Tangent cannot help, advise or recommend any action on your behalf and you must discuss all matters direct with your insurance company. Some insurance companies may limit policy cover to an extent that you are not fully insured or covered for all potential costs arising from situations highlighted in these terms and conditions. In this case it is your responsibility to self insure against such costs or seek additional cover through a combination of policies. If for any reason you must leave the expedition early for reasons not covered by your insurance policy, or without prior approval from your insurance company, you will be required to pay all such travel, evacuation, repatriation and related costs yourself by credit card prior to leaving Greenland. Clients must have in place access to sufficient funds to cover this using credit card payments. No such costs will be met by Tangent Expeditions Ltd. For clients sending items of personal equipment and food from the UK to Greenland as part of an advance freight consignment you must ensure that you have adequate freight insurance in place. Alternatively it may be possible to extend your house insurance to include personal possessions being sent/used overseas.
If for any reason a client or group member must leave the expedition for reasons not covered by your insurance policy, or without prior approval from your insurance company, you will be required to pay all such evacuation, repatriation and related costs yourself by credit card prior to departure from Greenland. Clients must have in place access to sufficient credit card funds to cover this as no such costs will be met by Tangent Expeditions Ltd.
The itinerary for each expedition is an approximate plan or aim rather than a specific objective. It is not a contractual agreement and local conditions, especially weather, may sometimes lead to a change of plan, area, peak, objective, or change of transport means to that of an alternative service such as aircraft, helicopter, snowmobiles, boat, dog sledges etc. Tangent Expeditions Ltd holds no financial responsibility for such changes, nor liability for subsequent related additional costs and/or refunds of whatsoever nature. All flight tickets arranged by Tangent Expeditions Ltd are non-refundable unless clients have specifically requested and paid for flexible fares. Expeditions do often fail in their intended objectives and no refund of whatsoever nature will be provided in the case of curtailment of the expedition for any such related reason. This is as a result of all Tangent expedition costs having to be prepaid to suppliers and being non-refundable. Any financial compensation for additional costs, whether foreseeable or not, are the responsibility of the client or should be claimed through the client’s insurance company where applicable.
Our tour prices include general and reasonable wear and tear on group equipment items supplied by Tangent Expeditions Ltd, including items of personal equipment rented to clients under their Booking Form contract. Tangent Expeditions Ltd reserves the right to apply post expedition surcharges for unreasonable wear and tear and for accidental damage to such equipment. For lost, broken or damaged items that require replacement, Tangent Expeditions Ltd reserves the right to charge at the full UK recommended retail price (including VAT), including postage and packing and a 50% service charge to include loss of earnings on damaged/lost equipment and freight charges for sending replacement items to Greenland.
All Tangent expeditions carry a satellite telephone for the expedition leader to communicate either with our office in the UK or staff at Constable Point (Greenland) and provide status reports and updates. Limited battery life and recharging facilities means that this phone is not for everyday client use, although the occasional call may be permitted. The phone will not provide sufficient facilities for individuals to use it to communicate at length with their insurance company regarding any insurance related issues. For clients wishing to make extended personal use of communications during the expedition, or to talk to their insurance company, we recommend that they hire their own personal satellite telephone. These can be provided by Tangent at very reasonable cost. Use of any Tangent fixed line or satellite telephone will incur charges of GBP £3 per minute, or part thereof. Internet charges at our Constable Point base in Greenland will be calculated at GBP £1 per minute, or part thereof. It is compulsory for all expeditions using the services of Tangent Expeditions Ltd to have a working satellite telephone with active SIM (minimum 75 mins), spare fully charged battery and solar recharging system. Independent groups are acknowledging this by the signing of their contract.
Tangent Expeditions Ltd provides comprehensive base camp medical kits and first aid kits for expeditions where an expedition leader or guide is provided by Tangent Expeditions Ltd. For independent groups Tangent Expeditions Ltd can not provide first aid or medical kits and such groups are responsible for providing these themselves. Tangent Expeditions Ltd cannot advise on the suitability of these kits and independent professional advice should be sought. All clients must report any personal accident, injury or illness to their expedition leader at the earliest opportunity, however minor the incident. The client must work with the expedition leader to ensure that the incident is properly recorded on a formal incident card. For Tangent expeditions this is to be found in each and every Tangent base camp medical kit. Any items or drugs used or removed from either Tangent base camp medical kits or expedition first aid kits must be reported to the expedition leader and logged in the usage card within each kit. Any client requiring in-patient or out-patient medical care whilst overseas on a Tangent expedition should inform the expedition leader or Tangent office as soon as possible. A written medical diagnosis and statement of treatment, showing any drugs administered should be obtained, kept and photocopied. One such photocopy should be forwarded to our office as soon as possible. Clients are required to advise Tangent Expeditions Ltd immediately if they have any concerns over the health or performance of the expedition leader or guide attached to your expedition. We strongly recommend that independent group expeditions have at least one suitably trained first aider on their expedition, preferably with a mountain first aid qualification. Leaders of independent group expeditions are responsible for having their own liability insurance in place to cover the provision of medical treatment during their expedition.
DIRECT AND INDIRECT SUPERVISION, DOWNTIME, AND PERSONAL TIME
All Tangent expeditions will involve periods of direct supervision, indirect supervision, downtime and personal time. Direct supervision is where a leader will manage the participants during part of the venture with the ability to intervene in person immediately. During indirect supervision he/she will still be managing the participants but without the ability to intervene immediately. Full definitions and their implications of all four terms are available on our website or contact our office for further details.
ASSISTANCE AND RESCUE ETHICS
All Tangent expeditions will render assistance to other expedition team members who are in a serious medical condition or life threatening situation on expedition so long as this does not unreasonably compromise the safety of their own team members. This extends to include other expeditions not operated by Tangent Expeditions Ltd but where it is felt that our involvement could potentially increase the comfort and well being of other people with serious medical or life threatening conditions. Clients must be aware of this possibility at the start of the expedition and that any rescue effort may jeopardise their own expedition and it's objectives. Independent groups should note that Tangent Expeditions Ltd is in no way responsible for assisting in any search and rescue or evacuation incident involving your group or team members. For such independent groups Tangent Expeditions Ltd is a third party provider of travel and equipment hire services only. Any matters relating to incidents occurring during your expedition when not being transported by Tangent Expeditions Ltd are the responsibility of your own expedition leader and support network. Such independent groups are responsible for their own safety policies, emergency response plans and collating of useful contact information for search and rescue in the case of a medical emergency in Greenland. Tangent Expeditions Ltd has no responsibility for the safety of such groups unless they under the direct supervision of Tangent Expeditions Ltd whilst being transported by us. Where possible however, Tangent staff will try to provide support and information to assist independent groups during emergencies, in respect of which the independent group (the Provider) will cover any additional costs incurred as a result (charged at £50 per hour per staff member).
EXPEDITION CURTAILMENT and LEADER/GUIDE ILLNESS or INJURY
Any client arriving at the group meeting point in Iceland on the agreed start date, who has not fully complied with all aspects of the pre-agreed Terms and Conditions for joining the expedition, may be denied from joining the expedition. This will be at Tangent Expedition's discretion. No refunds of whatsoever nature will be given and all subsequent costs relating to that client will be the sole responsibility of the client. Tangent reserves the right to curtail any Tangent expedition at any time, without financial compensation to the client, on the basis of safety grounds following an unforeseen situation arising which jeopardizes the safety or physical, mental, emotional or psychological well being of any member of the expedition, including the expedition leader, beyond that normally foreseeable as part of the planned itinerary. If for any reason the expedition leader/guide must be evacuated from the expedition, that expedition is deemed to have ended as a Tangent led/guided expedition. Clients must have in place insurance cover to protect against curtailment of the expedition due to such injury to or illness of other members of the expedition or the expedition leader.
Due to the extremely remote nature of the areas we visit it may not be possible for Tangent to provide a replacement leader after an expedition has begun, as defined by the date on which all expedition members have congregated on the agreed start date in Iceland. Following an expedition curtailment the client and/or their respective insurance company are responsible for making all necessary arrangements for travel and repatriation back to your home country, including all flights, transfers, accommodation and additional services and expenses. Tangent reserves the right to have any member of the expedition removed or evacuated at any time and at the client's own expense, if that client is deemed by the leader/guide to be unsuitable to carry on, for whatever reason, or is having a detrimental physical or psychological effect on the rest of the expedition team members.
Most Tangent expeditions will be Professionally Guided, Professionally Led or Professionally Consulted expeditions. Under normal circumstances these expeditions will only have one leader/guide. Only on Professionally Individually Guided expeditions of more than 3 clients, and on Professionally Led expeditions with more than 5 clients, is there likely to be a deputy leader. Where a deputy leader exists, the deputy leader will take over the role of expedition leader if the original leader becomes ill or injured and can no longer fulfil his/her duties. For expeditions operating during the March to May period, and using Tangent snowmobiles for transport logistics, we will attempt to provide a replacement leader from our staff team at Constable Point, subject to availability. For all other expeditions the supply of an alternative leader will be subject to availability depending on the time frames involved prior to the expedition start date. If we cannot supply a suitable replacement leader/guide prior to the expedition start date then a full refund will be made. If, however, a leader/guide becomes ill or injured during a Twin Otter ski plane or helicopter serviced expedition, or during the Greenland east-west icecap crossing expedition, it may not be possible to provide a replacement due to the extremely remote nature of the location. In these circumstances it may be necessary to curtail the expedition and no refund can be made due to the expedition costs having already been prepaid to suppliers and third parties. There will be opportunity for either individuals, or the group as a whole, to consider the option of continuing as a Professionally Consulted (Independent) Expedition. This will depend on the skills and experience of the individuals or group involved. If it is deemed inappropriate or unsafe to allow individuals to continue on the expedition, under this new format, Tangent Expedition's decision to have the group extracted will be final. Costs for the extraction of those individuals from the base camp location, and transport back to the nearest local airport, will be shared equally between all members of the original expedition group, regardless of if some members choose to continue as a Professionally Consulted expedition. Clients will be free to remain in the host country and carry out other general travel and tourism at their own cost until the original planned departure date from the country. If clients chose to leave the host country early, then all such associated costs will be the client's responsibility. Clients are made fully aware of this policy in both this document and in our Tangent Guiding Protocol.
Expeditions advertised on any Tangent website may include the name and details for the expedition leader. This demonstrates an intention only and it may on some occasions not be possible for the anticipated leader to be able to lead the expedition. Tangent reserves the right to change the name and details of the expedition leader at any time up until the start date for the expedition. On rare occasions it can sometimes also be necessary to change the leader mid-expedition, and Tangent reserves the right to do this, however it is emphasized that this would only be done in exceptional and unavoidable circumstances.
For expeditions where Tangent Expeditions Ltd is providing an expedition leader or tour guide all clients must truthfully reveal, by means of a detailed questionnaire in their booking form or other written notification, their relevant mountaineering, climbing, skiing or expedition experience and relevant medical history, to enable the expedition organiser or leader to make an informed decision on the suitability of the client for their chosen objective. When deciding on the suitability of a client the expedition organiser and leader should consider their previous relevant experience, technical ability, physical and mental toughness, fitness and group compatibility. The selection of the client for any expedition is at the discretion of Tangent Expeditions Ltd and the expedition leader. Any client joining an expedition for which they do not possess the necessary skills required for that trip, through misrepresentation of their past experience, may be restricted in the nature and extent of activities that will be available to them on their chosen expedition, and ultimately could be requested to leave the expedition. This decision will be at the sole discretion of the expedition leader. All such related costs will be the sole responsibility of the client. For independent groups it is the responsibility of the expedition leader and/or his supporting organisation to carry out checks to ascertain the suitability of their group members.
All clients booking services and tours arranged by Tangent Expeditions Limited must agree to take an active and supportive role in the expedition they choose to join. They must be polite and courteous to other members of the group and must not engage in inappropriate or offensive behaviour. They must show discretion and maturity in handling all matters concerning group dynamics and relationships. The expedition leader's decision will be final in deciding whether or not any behaviour is deemed inappropriate or offensive. This will include any behaviour that is detrimental to the overall enjoyment, safety or well being of the other members of the group, including behaviour that may affect the overall success of the the tour or it's aims and objectives. Any person behaving in a manner deemed unacceptable by the expedition leader will be asked to leave the expedition. All related costs associated with the early retirement of any such member or members of the group will be the sole responsibility of that/those individual(s). This policy also applies to all independent group members when using services provided by Tangent Expeditions Ltd.
Tangent expeditions in Greenland rarely involve ascents of mountains where the affects of altitude are experienced. The only expeditions operated by Tangent Expeditions Ltd that involve operating at altitudes above 3000m are our expeditions to the Watkins Mountains of east Greenland. These expeditions will involve ascents up to 3700m, where it is possible to experience altitude sickness. The relevant tour descriptions for these expeditions will include an altitude warning and the expeditions will allow adequate time for acclimatisation if required.
DANGEROUS ANIMALS WARNING
The Arctic regions of Greenland, Svalbard, Baffin Island and Ellesmere Island contain dangerous land animals such as Polar Bear and Musk Ox. Clients joining Tangent expeditions that operate in these environments must accept that they are exposing themselves to a potential encounter with such animals. All Tangent expeditions and their leaders carry Polar Bear and Musk Ox deterrents, early warning systems and firearms, but these cannot completely guarantee the safety of any individual. You understand, acknowledge and accept this risk by signing your booking application form.
IMPORT OF ALCOHOL IN TO GREENLAND
The import of any form of alcohol or duty free in to Greenland is illegal. Participants should not bring any alcohol of any kind in to Greenland. Alcohol can be purchased from the main supermarket in Ittoqqortoormiit village. Alcohol must not be sent to Greenland as part of any expedition freight consignment.
PASSPORT AND VISA
It is your responsibility to ensure that your passport and Visa are valid. British citizens do not require a Visa for entry into Iceland, Greenland or Svalbard. Foreign citizens should check with their relevant Embassy. For independent groups it is the responsibility of the expedition leader to check that all group members have a valid passport and Visa (if required).
The Data Controller is Tangent Expeditions limited, registered with the Information Commissioner's Office, registration number Z5964760, with an annual expiry date of 29th October each year. Through completion of your booking form or contract you authorize the Data Controller to keep all aspects of your personal data or that of your group members submitted to Tangent Expeditions Ltd, in either electronic or paper format, or both. This will only be used for internal use within the company, to be shared between the expedition organisers and leaders, and the necessary Greenland authorities and Greenland Police where required (for permit, incident or repatriation purposes). The information may be transferred outside of the European Economic Area (EEA) for permit applications, medical, rescue and repatriation purposes and to overseas leaders and guides. Client email and postal addresses may be used for circulation of relevant Greenland information and to receive our monthly Newsletter. The information will not be shared or sold to any other bodies or organisations without the specific consent of the client.
JURISDICTION AND LAW
The terms and conditions of all agreements and contracts made with Tangent Expeditions Ltd, and including all matters arising from it, shall be subject to, and governed by, English Law and the exclusive jurisdiction of the English courts.
COMPLAINTS AND COMPLIMENTS PROCEDURE
Any complaints or disputes arising whilst on an expedition should be notified to the expedition leader as soon as possible during the expedition. This is to give time and opportunity for the leader to make every effort to rectify the situation at the time, and to allow you to continue your expedition in a satisfactory manner. For complaints or disputes that can not be rectified to your satisfaction whilst overseas should be sent to Tangent Expeditions Ltd in writing or by email at the following address below, no later than 28 days after the completion date of the tour. No dispute or complaint received after this period will be entered in to or replied to. By not sending a complaint during this period you acknowledge your agreement to a satisfactory completion and conclusion of your contract with Tangent Expeditions Ltd. Compliments can also be sent at any time, with no time restriction to Tangent Expeditions Limited, Buckthorn Cottage, Leighton Close, Slack Head, Milnthorpe, Cumbria, LA7 7BG, United Kingdom. A Director of Tangent Expeditions Limited will reply to any complaint within 28 days of receipt of the aforementioned letter or email, to allow sufficient time to acquire and evaluate the initial relevant information. Compensation is limited in accordance with the International Convention and is limited to the value of the holiday or tour, with the exception of negligence claims resulting in personal injury or death.
